  1. PRAIRIE HOLLOW CAMP LLC – PROPERTY RENTAL AGREEMENT

This Rental Agreement (“Agreement”) is a legally binding agreement entered into by and between Prairie Hollow Camp LLC (“Rental Agent”) and the undersigned guest (“Guest”) for the rental of the property described in the reservation confirmation (“Property”). By confirming a reservation, Guest agrees to be bound by the terms of this Agreement and further agrees that all occupants, invitees, and any other persons permitted onto the Property by Guest (“Permitted Parties”) shall also be subject to and bound by these terms. Guest is responsible for ensuring that all such Permitted Parties comply with this Agreement, and Guest shall be held liable for their actions and omissions as if they were Guest’s own.

If any terms within this Agreement conflict with the terms of the third-party booking channel through which the reservation is made, the terms of the booking channel shall take precedence over this Agreement.


1. CONTACT INFORMATION

For assistance before, during, or after the stay, Guest may contact the Rental Agent using the contact details provided in the reservation confirmation. In the event of an emergency, Guest should call 911 or the appropriate local emergency number.

2. RESERVATION CONFIRMATION

A reservation is confirmed when the Rental Agent has received all required guest information, payment as outlined in Section 3, and written confirmation is provided to the Guest by the Rental Agent or booking platform.

3. PAYMENT TERMS

Guest agrees to pay all rental fees, taxes, and applicable charges as outlined in their reservation confirmation. Payment deadlines and accepted payment methods may vary depending on the booking channel and will be specified in the reservation details. If payment is not received by the stated due date, the Rental Agent reserves the right to cancel the reservation without refund of any amounts already paid, subject to applicable cancellation policies.

4. SECURITY DEPOSIT

A security deposit may be required depending on the booking channel through which the reservation is made. Guests should refer to their specific reservation details to determine whether a security deposit applies. When required, the security deposit amount and payment method will be outlined in the reservation confirmation. The security deposit is held to cover any damages, excessive cleaning costs, or violations of this Agreement by Guest or any Permitted Party. The security deposit amount will be placed as an authorization hold on the Guest’s chosen payment method no more than 48 hours before the beginning of the rental period. The Rental Agent will inspect the Property after Guest’s departure and will refund the security deposit within 3 days, less any deductions for damages or charges, accompanied by an itemized statement. Failure to provide a required security deposit may result in cancellation of the reservation. If damages exceed the deposit, Guest remains liable for the balance. Regardless of whether a security deposit is collected, Guest remains fully liable for the cost of any damages to the Property or its contents caused by Guest or any Permitted Party during the stay. The absence of a security deposit does not limit or waive Guest’s financial responsibility for damages.

5. CLEANING FEE

A non-refundable cleaning fee, as specified in the reservation details, is required for each booking. This fee covers standard cleaning after Guest’s departure. Additional cleaning charges may apply if the Property is left in an excessively dirty or unsanitary condition, or if cleaning beyond the standard turnover is required.

6. AVAILABILITY, DAMAGES, AND REPORTING PROCEDURE

Property is provided “as is.” Guest agrees to maintain the property in clean and undamaged condition. Costs for damage or excessive cleaning may be deducted from the security deposit. Guest must promptly report any damage, loss, or maintenance issue to the Rental Agent within 24 hours of discovery and, when possible, before check-out. Failure to report damages in a timely manner may result in the Guest being held responsible for the full cost of repair or replacement. Guests are not permitted to attempt repairs themselves without prior written consent from the Rental Agent. No refunds will be issued for nonessential appliance failure. Amenities such as cable, internet, and streaming services are provided as-is and without warranty, and no refunds will be issued for outages.

7. HOUSE RULES

Guest agrees to comply with all House Rules provided by the Rental Agent, whether included in the reservation confirmation, posted at the Property, or otherwise communicated in writing or electronically. These rules are incorporated into this Agreement by reference and are legally binding. Violation of House Rules by Guest or any Permitted Party may result in additional charges, eviction without refund, and/or deductions from the security deposit if applicable.

8. OCCUPANCY LIMITS

Guest shall not exceed the maximum occupancy stated in the reservation confirmation. Exceeding occupancy limits may result in eviction without refund and/or additional fees.

9. CHECK-IN / CHECK-OUT TIMES

Check-in and check-out times are as stated in the reservation details. Early check-in or late check-out requests will be accommodated when possible but are not guaranteed. Such requests may incur additional fees. Unauthorized late check-out will incur fees up to twice the average daily rate per 24-hour period or portion thereof, with a minimum of $50.

10. NOISE AND NUISANCE

Guest agrees to conduct themselves, and ensure all Permitted Parties conduct themselves, in a manner that does not disturb neighbors, other guests, or the peaceful enjoyment of the surrounding area. Quiet hours are from 11:00 p.m. to 7:00 a.m., unless otherwise stated in the House Rules. Excessive noise, disorderly conduct, or nuisance activity may result in eviction without refund and/or charges for any resulting fines or damages.

11. PHOTO/VIDEO RELEASE AND SURVEILLANCE

Guest acknowledges and agrees that the Rental Agent may take photographs or video recordings of the Property for marketing or documentation purposes, provided that no personally identifying images of Guests or Permitted Parties will be used without written consent. Guest is further advised that exterior surveillance cameras may be in use at the Property for security and liability purposes. These cameras do not monitor interior spaces. Any photos or videos voluntarily provided by Guests (e.g., through reviews or social media tagging) may be used by the Rental Agent for promotional purposes without further compensation.

12. LOCAL ORDINANCE COMPLIANCE

Guest and all Permitted Parties shall comply with all applicable laws, regulations, and ordinances during their stay, including but not limited to local occupancy restrictions, parking regulations, noise ordinances, and fire safety rules. Any fines or penalties resulting from violations shall be the sole responsibility of the Guest. Illegal activities cause immediate termination without refund.

13. BOAT DOCK USE AND LIABILITY

Guests and Permitted Parties are permitted to use the boat dock located on the Property at their own risk. The Rental Agent assumes no responsibility for damage, loss, or theft of any watercraft, personal property, or belongings while using the dock. Use of the dock and surrounding water areas, including swimming or boating, is entirely at the risk of Guest and Permitted Parties. Guest and Permitted Parties are strongly advised to wear U.S. Coast Guard–approved life jackets when swimming, fishing, or using watercraft. Failure to do so is at their own risk.

Guests agree to exercise reasonable care to avoid damage to the dock or related equipment. Any damage to the dock, pilings, or associated property caused by Guest, Permitted Parties, or their watercraft shall be reported immediately and repaired or reimbursed by the Guest. The Rental Agent reserves the right to withhold security deposit funds or seek additional compensation for damage. Guests and Permitted Parties must comply with all posted safety rules and local regulations regarding dock and water usage. Dock access is provided as-is and without guarantee of availability. No refunds or credits will be issued if the dock is temporarily unavailable due to weather, water conditions, maintenance, mechanical failure, or any other cause beyond the Rental Agent’s control.

14. CANCELLATION POLICY

For reservations made through a third-party booking channel, the cancellation policy of that channel governs and takes precedence over this section. For reservations made directly with the Rental Agent, the following default cancellation policy applies: cancellations made 14 or more days before the check-in date will receive a full (100%) refund of amounts paid; cancellations made 7 to 13 days before the check-in date will receive a 50% refund of amounts paid; cancellations made less than 7 days before the check-in date are non-refundable. All cancellations must be submitted in writing and received by 11:59 p.m. Central Time on the applicable day to qualify for the stated refund. The cleaning fee is non-refundable under all circumstances. Cancellation deadlines are calculated based on the check-in date, not the date of booking.

15. PETS

No pets or animals of any kind are permitted on the Property at any time, without exception. Violation of this policy may result in immediate eviction without refund, additional cleaning fees, and/or deductions from the security deposit.

16. ALCOHOL

Consumption of alcohol on the Property is permitted for guests of legal drinking age. Guest acknowledges that the consumption of alcohol near water, docks, and watercraft presents heightened risk of injury or death. Guest and all Permitted Parties assume full responsibility for any incidents, injuries, or damages arising from or related to the consumption of alcohol on or near the Property, including but not limited to dock and water areas. The Rental Agent assumes no liability for alcohol-related incidents.

17. PARKING

Guest and Permitted Parties may park a maximum of four (4) vehicles on the Property. Two (2) parking spaces are available under the carport, with additional parking available in front of the store. One (1) boat trailer is permitted. RVs and other trailers of any kind are not permitted at the cabin. Vehicles must be parked in designated areas only. The Rental Agent assumes no responsibility for damage, theft, or loss involving vehicles or trailers parked on the Property.

18. EARLY TERMINATION BY RENTAL AGENT

The Rental Agent reserves the right to terminate this Agreement and require Guest and all Permitted Parties to vacate the Property immediately, without refund, in the event of: (a) violation of any House Rule or provision of this Agreement; (b) exceeding the maximum occupancy limit; (c) any illegal activity on or near the Property; or (d) any situation deemed by the Rental Agent to pose a risk to the safety of persons or property. In such cases, Guest forfeits all amounts paid and remains liable for any damages or costs incurred.

19. ABANDONED PROPERTY

Any personal property left on the Property after check-out is considered abandoned. The Rental Agent is under no obligation to search for, identify, or notify Guest of any items left behind. If the Rental Agent becomes aware of abandoned items, reasonable efforts may be made to hold such items for up to seven (7) days from the date of discovery, after which the items may be discarded, donated, or disposed of at the Rental Agent’s sole discretion. The Rental Agent assumes no liability for abandoned property. Inquiries regarding left-behind items will only be accepted from the Guest named in the reservation confirmation. The Rental Agent will not release, discuss, or transfer personal property to any third party, including other occupants or Permitted Parties, regardless of their claimed ownership. The Rental Agent assumes no liability for items not claimed within the stated period.

20. INSURANCE RECOMMENDATION

The Rental Agent strongly recommends that Guest obtain travel insurance to protect against unforeseen events such as trip cancellations, medical emergencies, weather disruptions, or other losses. The Rental Agent does not provide insurance coverage for Guest’s or Permitted Parties’ personal property, trip interruption, or other incidents. Use and occupancy of the Property are at the sole risk of Guest and Permitted Parties.

21. ASSIGNMENT, SUBLEASE, AND PRIMARY OCCUPANCY

No assignment or sublease of this Agreement is permitted, except to family or permitted guests included in the occupancy count. Guest must be physically present and remain at the Property for the duration of the stay. Reservations may not be made on behalf of third parties, and no person other than the Guest and Permitted Parties identified in the reservation may occupy the Property without prior written consent of the Rental Agent.

22. RELEASE AND INDEMNIFICATION

Guest assumes all risk of theft, damage, or loss to personal property. Guest releases and discharges Rental Agent and Property Owner from all claims, damages, injuries, or deaths occurring on or near the Property or while using its amenities, whether involving Guest or Permitted Parties.

Guest further agrees to indemnify and hold harmless the Rental Agent and Property Owner against all third-party claims, damages, or legal fees arising out of the use or occupancy of the Property by Guest or Permitted Parties, except in cases of gross negligence or willful misconduct by the Rental Agent. This indemnity obligation survives termination of this Agreement.

23. ENTRY AND INSPECTION

Rental Agent may enter the Property with notice to inspect or show it. Immediate entry is permitted if imminent danger is suspected.

24. FORCE MAJEURE

The Rental Agent shall not be held liable for failure or delay in performance of any obligations under this Agreement if such failure or delay is due to causes beyond its reasonable control, including but not limited to acts of God, natural disasters, extreme weather events, government actions, labor disputes, pandemics, public health emergencies, power outages, or other events beyond the Rental Agent’s control. In such cases, the Rental Agent may, at its sole discretion, issue a credit or reschedule the booking, but is not obligated to provide a cash refund.

25. DISPUTE RESOLUTION

The parties agree to first attempt to resolve any dispute, claim, or controversy arising out of or relating to this Agreement through good-faith informal negotiations. Such negotiations must commence within 30 days after written notice of the dispute is provided by either party. If the dispute is not resolved within this 30-day period, either party may file an action in the state courts of Missouri, with exclusive jurisdiction and venue in the Circuit Court of Camden County, Missouri. The parties consent to the personal jurisdiction of these courts for the resolution of any disputes arising under this Agreement.

26. GOVERNING LAW

This Agreement shall be governed by and construed in accordance with the laws of the State of Missouri, without regard to its conflict-of-law principles.

27. SEVERABILITY

If any provision of this Agreement is found invalid or unenforceable, the remaining provisions shall remain in full force and effect.

28. NO WAIVER

Failure of the Rental Agent to enforce any provision of this Agreement shall not constitute a waiver of its right to enforce that provision or any other provision in the future.

HOUSE RULES

This list of house rules may not be complete. Guest and Permitted Parties should follow any additional rules which may be posted on the property, posted on any booking channel website, or communicated directly by Rental Agent.

  1. Check in time is 3pm, Check Out time is 11am.

  2. Max Occupancy is 4 persons.

  3. Quiet Hours are between 11pm and 7am.

  4. Trash should be disposed of in the dumpster on the property before departure

  5. Pets are not allowed.

  6. No smoking of any kind allowed indoors.

  7. No firearms of any kind are allowed on the property.

  8. No hunting on the property.

  9. Fireworks are not permitted anywhere on the property.

  10. No Events.

  11. Guests are required to complete our guest check-in within 48 hours of booking. We require every guest to submit a valid photo ID and selfie that may be authenticated by a third party. Authentication may include a background check at owner discretion. In order to retain your booking you’ll need to sign a rental usage agreement which you’ll receive after you confirm your reservation. Failure to complete our check-in process within 48 hours of booking will result in cancellation in accordance with our cancellation policies. No guest will be permitted on the property prior to completion of check in.
